How to choose practice management software for a veterinary clinic in Spain

Choosing practice management software is a decision you make once every several years and live with every single day: switching means migrating records, retraining the team and absorbing weeks of friction. Which is why "what is the best veterinary software?" is the wrong question: there is no best, there is one that fits your team, the way you work and what you can pay each month. What we can usefully do is lay out the criteria that move the needle and the verifiable data for each product.

Before you watch the first demo, answer two things in writing: what exactly hurts today — "I lose hours writing records" and "invoicing eats half my morning" are different problems — and how many people will be using it in two years' time.

The criteria that actually matter

1. Pricing model: per clinic or per vet

This is the biggest structural difference between products and the one least examined during a demo. Charging per vet or per "seat" is cheap on day one and expensive once the team grows; charging per clinic gives you a flat cost. Neither model is dishonest, but only one surprises you when you hire your third vet. Verifiable examples: Provet Cloud charges per vet or seat; Wakyma Vets publishes a single price with unlimited users; QVET states it applies no monthly per-vet fees; Artiprax charges per clinic.

2. Is the price published, or do you have to book a demo?

There are two schools in the Spanish market: some publish their pricing openly (Wakyma Vets, Iveter, Smart Vet, Provet Cloud, Artiprax) and others ask you to request a demo or an information pack (QVET, WinVet). Not publishing a price doesn't mean it's high: it means you need a call. If you go that route, ask for the price in writing with all four variables: VAT, users included, minimum term and which modules are billed separately.

3. Cloud, or a server inside the clinic

Most products in the Spanish market run in the cloud; some are still installed on a local server, such as WinVet, which describes itself on its website as on-premise veterinary software. That isn't worse by definition: the data physically sits in your clinic and you keep working if the connection drops, but someone has to look after the server, the backups and the updates. It's a decision about how you work, not about quality.

4. PRESVET: how it reports, not whether it reports

Since 2 January 2025, reporting antibiotic prescriptions for companion animals to PRESVET has been mandatory in Spain, at least every fifteen days (Article 39 of Royal Decree 666/2023). The Ministry accepts four routes: web form, file upload, web service and REST API. Which gives you the useful demo question: does the software submit on its own against the Ministry's official service, or does it generate a file you upload yourself every fortnight? Both are legal and both "comply". They are not the same amount of work every two weeks.

What each product's website states today: Wakyma Vets describes reporting that "is carried out automatically and in real time… with no additional step", plus RECEVET and GTR; PetClinic says it "reports antimicrobial use from Petclinic to Presvet, Recevet and GTR"; QVET says it "links, in Spain, to PresVet and GTR as well as CIMA and CIMAVET". In Artiprax, submission happens from the application itself against the Ministry's official API, in production since 31 July 2026. There is also an amendment to Royal Decree 666/2023 in progress aimed at reducing administrative burden: it has not been approved, so nothing changes today.

5. VeriFactu: the dates actually in force

There is a lot of out-of-date information circulating here, so go to the source. Royal Decree-Law 15/2025, of 2 December, postponed the entire calendar by one year. The dates in force are:

• 1 January 2027 — corporate income tax payers (clinics set up as companies).
• 1 July 2027 — everyone else, including sole traders.

Throughout 2026 the system is voluntary. If a vendor gives you 2026 dates as mandatory, check them against the BOE — the link is at the end.

The other question worth asking: ask for the manufacturer's responsible declaration, the document in which whoever produces the software declares it complies with Royal Decree 1007/2023 — an obligation that fell due on 29 July 2025. Wakyma publishes its own; we publish ours inside the application.

6. AI scribes for clinical records

In two years this has gone from novelty to standard checkbox. Inside the practice management software itself you now have QVET's native AI (ESCRIBA, launched 15 January 2026), Wakyma's SlothVet (€59/month + VAT standalone, €99/month bundled), Provet Cloud's AI Scribe (priced per seat) and Artiprax's scribe. Outside it there are international tools already working in Spanish (VetRec, ScribbleVet, PawfectNotes, Scribenote, CoVet, VetGeni) that run alongside any PMS.

What to check during the demo, using a real case of your own: whether the output is faithful to what you dictated and invents no findings, whether it respects the sections you use (History, Clinical examination, Diagnosis, Procedures performed, Plan and recommendations) and what happens to the audio: whether it's stored, for how long, and whether it's used to train models. Provet Cloud documents that the draft is kept for 24 hours unless you add it to the record; in Artiprax it is deleted as soon as the report is generated.

7. Trials and data migration

With trials there are three models worth keeping apart: time-limited (Iveter, three months; PetClinic, two for newly opened clinics; Smart Vet, a free trial), trial migration (Wakyma has no free plan but migrates your data at no cost) and permanent free plan (Artiprax, €0/month with no card and no expiry, one vet and ten reports a month).

Migration in is usually covered: WinVet offers it at no cost, so does Wakyma, and Smart Vet prices it separately (€180). Migration out is the one almost nobody asks about and the one that protects you: can you export records, owners and invoicing in an open format, whenever you want, without asking permission?

Comparison table

Listed alphabetically. Each cell reflects what each product's public website stated on 10 August 2026. Links at the end.

"Not stated" means exactly that: we did not find it on that product's public website on 10/08/2026. We did not access demos, customer documentation or private areas. Absence of a mention is not absence of a feature — ask the vendor directly.

On VAT: every figure in this table is the net price, excluding VAT, because that is what this market publishes. Wakyma Vets states it explicitly ("+ IVA"), as does Smart Vet ("all amounts exclude VAT"), and Provet states it in its terms of service. Iveter does not say so on its website, but its own pricing calculator adds 21% on top of the €37. PetClinic does not mention VAT anywhere on its pricing page, so we cannot tell which basis its figure uses. When you compare, make sure every price you are looking at sits on the same basis: adding 21% to all of them does not change the ranking, but it does change the bill.

Where each one is strong

QVET declares the largest volume: more than 8,000 customers across 31 countries (self-declared, as are all the figures in this section). Native AI in production since January 2026, more than 2,000 clinics using it according to the trade press in June, and clinics invoicing under VeriFactu since July 2025. In exchange, the price goes through a demo.

Wakyma Vets publishes a single price with no tiers and no per-user extras: €50.9 a month plus VAT, unlimited users and devices, no minimum term. With a large team that comes out below any per-user pricing. It states automatic real-time PRESVET reporting, RECEVET and GTR, its own scribe (SlothVet) and more than 1,300 clinics.

Provet Cloud brings infrastructure and international track record: it runs on AWS, publishes a 99.9% uptime commitment and non-veterinary staff don't consume a paid seat; its AI Scribe is billed separately. PetClinic is the only product in this table on whose website we found a third-party audited security certification — ISO 27001 — with servers in Spain (Madrid and La Rioja).

Iveter and Smart Vet are the most affordable entry points in the table: €37 a month and €168 for twelve months for one user. WinVet has 26 years behind it and offers migration at no cost: its on-premise deployment is a drawback for some and a requirement for others, because the data stays inside the clinic.

Where Artiprax falls short

If you've read this far you know a competitor wrote this. Here is the part that normally doesn't get written.

• We are young and small. We have been in production for months, not years, and behind us there are a handful of Spanish pilot practices, not thousands. If your main criterion is a vendor with a long track record and many clinics behind it, today we are not that option.
• On AI scribes we were nowhere near first. QVET launched ESCRIBA in January 2026 and half a year later reported more than 2,000 clinics using its AI features; Wakyma has SlothVet and Provet Cloud has its AI Scribe. Our scribe is the heart of the product, but the ground was already occupied when we arrived.
• On VeriFactu, others are already invoicing and we are not. Our invoicing module is live, the responsible declaration is signed and published, and AEAT submission is ready to activate clinic by clinic — but as of today we have not submitted a single record, because no clinic has completed that activation. QVET, according to the trade press, has had clinics invoicing since July 2025. If you want to be invoicing under VeriFactu now, today we are not your option.
• We hold no third-party audited security certification — of the ISO 27001 kind PetClinic publishes — and we publish no uptime commitment like Provet Cloud's 99.9%.
• We are not the cheapest. Iveter and Smart Vet publish entry points below our cheapest paid plan, and Wakyma's single price can work out better for a large team than our top plan.

What we do offer, plainly: a published price (€0, €39 and €69 a month) charged per clinic rather than per vet; a free plan with no card and no expiry; the recording deleted as soon as the report is generated; and PRESVET submission from the application itself against the Ministry's official API. None of those four things is exclusive to us: QVET also states it charges no per-vet fees, and Wakyma also states automatic PRESVET reporting. They are arguments, not exclusives.

How to test before you decide

A demo run by a sales rep always goes well. This turns it into useful information:

• Bring three real cases of your own and ask them to run each one end to end in front of you. Don't watch the rehearsed path.
• PRESVET and VeriFactu, specifically: does the software submit against the official service, or does it generate a file for me? And ask for the manufacturer's responsible declaration, checking the dates against the BOE.
• Audio and migration: if there's AI, whether the recording is stored and for how long; and how I export my data the day I leave.
• Open it on a phone during the demo, and talk to a clinic already using it that the vendor didn't introduce you to.

How we built this comparison

We only included veterinary practice management software, so that we compare things built for the same purpose: that leaves out generalist clinical management tools, e-prescribing platforms, standalone scribes that aren't a PMS, and products aimed at other markets. We also left out several products whose public information we could not verify that day: we prefer an acknowledged gap to an invented data point.

We give no market share figures because no publicly audited source exists in Spain. Every customer figure quoted here is self-declared by each vendor, and should be read as such.
