Terms of Use
1. About these terms
These Terms of Use ("Terms") govern your access to and use of the Artiprax service, including the web application at app.artiprax.com and any related services (collectively, the "Service"). The Service is operated by Fernando Artiach Tarascon, trading as Artiprax, based in Dublin, Ireland ("we", "us", "our").
By creating an account or using the Service, you agree to be bound by these Terms and our Privacy Policy. If you do not agree, do not use the Service.
2. Description of the Service
Artiprax is an AI-powered clinical documentation tool designed for veterinary professionals. The Service allows you to:
- Record a short voice summary after a veterinary consultation
- Receive a structured clinical report generated by artificial intelligence, based on your dictation
- Edit, review and copy those reports into your own practice management software
The Service processes voice recordings using third-party AI providers (transcription and text generation) and returns a structured report. Voice recordings are processed in transit and are not stored by Artiprax. For full details, see our Privacy Policy.
3. Access and eligibility
The Service is currently available by invitation only during our pilot programme. Access is granted at our sole discretion. We may expand or restrict access at any time.
To use the Service, you must:
- Be a qualified veterinary professional (veterinary surgeon, veterinary nurse, or veterinary student under supervision) or be authorised by one
- Provide accurate registration information, including your professional credentials
- Be at least 18 years of age
You are responsible for maintaining the security of your account credentials. Do not share your password or allow others to access your account.
4. Acceptable use
You agree to use the Service only for its intended purpose: generating clinical documentation for veterinary consultations. You agree not to:
- Use the Service for any purpose other than veterinary clinical documentation
- Attempt to reverse-engineer, decompile, or extract the underlying AI models or prompts
- Use the Service to generate content that is fraudulent, misleading, or intended to deceive
- Share your account credentials with unauthorised third parties
- Use automated tools (bots, scrapers) to interact with the Service
- Overwhelm or interfere with the Service's infrastructure
5. AI-generated content — limitation of clinical responsibility
This is the most important section of these Terms.
Artiprax uses artificial intelligence to generate clinical reports based on your voice dictations. While we strive for accuracy and clinical relevance, AI-generated content may contain errors, omissions, or inaccuracies. Specifically:
- Reports are drafts, not final clinical records. Every report generated by Artiprax must be reviewed by the veterinary professional before being used in a clinical context, added to patient records, or shared with clients.
- Drug names, dosages and routes of administration in the generated reports reflect what was dictated. The AI does not independently verify drug safety, contraindications, or dosage appropriateness. You must verify all medication-related information before use.
- Artiprax does not provide veterinary advice. The Service is a documentation tool, not a diagnostic or therapeutic recommendation system. Clinical decisions remain the sole responsibility of the treating veterinary professional.
- You are responsible for the final content of any clinical report you use, share, or add to patient records. Artiprax is not liable for clinical outcomes resulting from the use of AI-generated reports.
6. Fees and payment
During the pilot programme, the Service is provided free of charge. When we introduce paid plans, we will notify you in advance and provide clear pricing information. You will not be charged without your explicit consent.
Future pricing, payment terms and billing cycles will be communicated separately and will form part of these Terms upon acceptance.
7. Intellectual property
Our IP: The Service, including its design, code, AI prompts, branding and documentation, is the intellectual property of Artiprax. You may not copy, modify, distribute, or create derivative works from any part of the Service without our written permission.
Your content: You retain ownership of all content you create using the Service, including your voice recordings (while in transit) and the clinical reports you generate and edit. We claim no ownership over your clinical data.
8. Data processing
When you use the Service, you enter clinical data relating to your patients and their owners (such as patient names, owner names, phone numbers and clinical observations). Under applicable data protection law (including the EU General Data Protection Regulation):
- You (or the clinic you represent) are the data controller — you determine why and how personal data relating to your patients and their owners is processed.
- Fernando Artiach Tarascon, trading as Artiprax, is the data processor — we process that data solely on your behalf and in accordance with these Terms, in order to provide the Service.
What we process and why
We process the personal data you enter into the Service (patient information, owner details, clinical notes and voice recordings) exclusively for the purpose of generating and storing your clinical reports. We also collect aggregated, non-identifying usage metrics (such as number of reports generated and feature usage) to maintain and improve the Service.
Access to your data
Access to clinical data stored in the Service is strictly limited to technical support and maintenance of the Service. We do not access, review or use the clinical content of your reports for any other purpose. We do not sell, rent, or share your data with third parties for their own purposes.
Sub-processors
To provide the Service, we use the following third-party sub-processors, each of which processes data on our behalf under appropriate contractual safeguards:
- Supabase (database and authentication) — EU region
- OpenAI (voice transcription via Whisper API) — data processed under their API data usage policy, with zero data retention for training
- Anthropic (clinical report generation via Claude API) — data processed under their API data usage policy, with zero data retention for training
- Vercel (application hosting)
- Google Workspace (email communications)
We will notify active users before adding any new sub-processor that handles clinical data.
Data retention and deletion
Voice recordings and raw transcriptions are automatically deleted immediately after your clinical report is generated. Clinical reports are retained for as long as your account is active. When you close your account, we will delete all your clinical data within 30 days, unless retention is required by applicable law.
Security and breach notification
We implement appropriate technical and organisational measures to protect your data, including encryption in transit (TLS), row-level database security, and access controls. In the event of a personal data breach that is likely to result in a risk to the rights and freedoms of data subjects, we will notify you without undue delay and, in any case, within 72 hours of becoming aware of the breach.
9. Availability and modifications
We aim to provide a reliable service, but we do not guarantee uninterrupted or error-free access. The Service may be temporarily unavailable for maintenance, updates, or due to circumstances beyond our control.
We may modify, update, or discontinue features of the Service at any time. If we make changes that materially affect your use, we will notify you in advance where practicable.
10. Account suspension and termination
We may suspend or terminate your account if:
- You breach these Terms
- You provide false or misleading registration information
- Your use of the Service poses a risk to the Service, other users, or third parties
- Required by law or regulation
You may close your account at any time by contacting us at info@artiprax.com. Upon closure, we will delete your data in accordance with our Privacy Policy.
11. Limitation of liability
To the maximum extent permitted by Irish law:
- The Service is provided "as is" and "as available", without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or accuracy of AI-generated content.
- Artiprax shall not be liable for any indirect, incidental, consequential, or punitive damages arising from your use of the Service.
- Artiprax shall not be liable for any clinical outcomes, patient harm, or professional consequences resulting from the use of AI-generated reports. The treating veterinary professional retains full clinical responsibility at all times.
- Our total aggregate liability for any claims arising from these Terms or the Service shall not exceed the amount you have paid to Artiprax in the twelve (12) months preceding the claim, or €100, whichever is greater.
Nothing in these Terms excludes or limits liability that cannot be excluded under applicable law, including liability for fraud or wilful misconduct.
12. Indemnification
You agree to indemnify and hold harmless Fernando Artiach Tarascon (trading as Artiprax) and his service providers from any claims, losses, or damages arising from your use of the Service, your breach of these Terms, or your violation of any applicable law or regulation.
13. Governing law and jurisdiction
These Terms are governed by and construed in accordance with the laws of Ireland. Any disputes arising from these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of Dublin, Ireland.
If you are a consumer within the European Union, nothing in these Terms affects your rights under applicable EU consumer protection legislation.
14. Changes to these Terms
We may update these Terms as the Service evolves. When we make material changes, we will notify active users by email and update the "Last updated" date at the top of this page. Continued use of the Service after notification constitutes acceptance of the revised Terms.
